Phase 1: pre-bid research
Shortlist vehicles that fit your stock profile: price band, fuel type, gearbox, body style, repair confidence and buyer demand. Then run landed cost and max bid calculations before the auction begins.
Check category status, V5, damage photos, run condition, mileage, MOT history and obvious red flags. The output should be a clear walk-away bid, not a vague sense that the car looks cheap.
Phase 2: after you win
Once the vehicle is won, pay within the auction window, record the invoice lines, book transport and create the stock record immediately. The vehicle should enter your pipeline before it physically arrives.
Key fields include hammer price, fees, transport, location, category, V5 status, expected sale, initial repair budget and due dates. This stops the first week from becoming a mess of screenshots and memory.
Phase 3: inspection, parts and repair
When the vehicle arrives, compare real damage against the listing photos. Update the repair plan, approve required parts, separate parts from labour and track which costs are estimated, ordered, received or paid.
Prioritise safety-critical repairs, alignment, cooling, airbags, suspension, braking, tyres and warning lights before cosmetic work. A car that photographs well but drives badly is not ready.
Phase 4: listing and sale
When the car is ready, create the advert from the actual vehicle record: spec, mileage, category, repair notes, MOT, service, condition and price. Use clear photos and transparent wording to reduce wasted enquiries.
Choose channels based on vehicle type and buyer profile. Facebook Marketplace may suit quick local interest, Auto Trader can support search intent, and eBay or Gumtree can broaden reach for specific stock.
Phase 5: post-sale analysis
After sale, record actual sale price, payment date, total costs, profit, ROI and days in stock. This is where the trader learns which buys were genuinely strong and which only looked good at hammer time.
Review patterns monthly: repair estimates versus actuals, average days in stock, category performance, price bands, common parts delays and profit per pound invested.
